Zoho CRM is a customer relationship management platform that helps sales and marketing teams manage leads, contacts, deals, and customer communication in one place.
The Zoho CRM integration for Omnisend keeps contact data aligned between both platforms. New Zoho CRM contacts or leads sync to Omnisend in real time, updated records sync every 5 minutes, and new Omnisend contacts sync to Zoho CRM every 5 minutes.
Before You Begin
The integration syncs contact profile data only. Deals, accounts, notes, and events are not synced.
Contacts are matched by email address. Records without an email address are skipped in both directions.
Each automation has its own Zoho contact type setting: Contacts or Leads. Use the same type in all automations if you want a two-way sync.
New Zoho CRM records sync to Omnisend in real time. Updated Zoho CRM records and new Omnisend contacts sync every 5 minutes.
Only newly created Omnisend contacts sync to Zoho CRM. Later changes in Omnisend are not sent to Zoho CRM.
On the first run, Zoho CRM records created or updated in the previous 12 hours sync to Omnisend. Omnisend contacts created before you enable the automation are not sent to Zoho CRM.
Only the data fields listed in this article are supported, plus any Zoho CRM custom fields you select. Custom fields require a paid Zoho CRM edition; they are not available in the Free edition.
Benefits
Add new Zoho CRM contacts or leads to Omnisend as soon as they are created.
Keep Omnisend profiles up to date when contact details change in Zoho CRM.
Send new Omnisend subscribers to Zoho CRM as leads or contacts, so your sales team can follow up.
Respect email opt-outs in both directions.
Use Zoho CRM details such as owner, title, company, and lead status in Omnisend segments and Automation Workflows.
Setup Process
Step 1. Go to the Omnisend App Market → search for Zoho CRM → click Connect now.
Step 2. Sign in to your Zoho CRM account when prompted and authorize the connection. Your Zoho data center (for example, US or EU) is detected from your login.
Step 3. Review the requested access and confirm the connection.
Step 4. For each automation you want to use, choose the Zoho contact type (Contacts or Leads), choose any Custom fields to sync, and enable it.
See Automations and Zoho Contact Type below.
Step 5. Test the sync. Create a contact or lead with an email address in Zoho CRM, and create a new test contact in Omnisend. Check that the supported fields appear on the other side.
💡 Tip: If you use the Lead Source field in Zoho CRM with a restricted list of values, add Omnisend to that list before you enable the automations. See Troubleshooting.
Automations and Zoho Contact Type
The integration has three automations. You can enable or disable each one separately.
Automation | Direction | When it runs |
New Contact or Lead in Zoho CRM → Omnisend | Zoho CRM → Omnisend | Real time, when a record is created in Zoho CRM |
Contact or Lead updated in Zoho CRM → Omnisend | Zoho CRM → Omnisend | Every 5 minutes; picks up new and updated records |
New contact in Omnisend → Zoho CRM as lead or contact | Omnisend → Zoho CRM | Every 5 minutes; new Omnisend contacts only |
Each automation has a Zoho contact type setting that decides which Zoho CRM module it works with:
Contacts - people you already have a relationship with, such as customers.
Leads - prospects who have not yet been qualified.
Example setup: Send new Omnisend subscribers to Zoho CRM as Leads, and sync your Zoho CRM Contacts to Omnisend.
Important: For a full two-way sync, use the same Zoho contact type in all three automations. If the types differ, records created in Zoho CRM by Omnisend are not synced back.
For example, if Omnisend creates Leads but the Zoho CRM → Omnisend automations watch Contacts, later changes to those leads in Zoho CRM do not reach Omnisend.
The two Zoho CRM → Omnisend automations overlap on purpose: a new record is synced by both. This is expected because Omnisend updates the same contact by email rather than creating a duplicate.
What Data is Passed
Contacts & Leads
Zoho CRM syncs Contacts or Leads to Omnisend with the following data:
Data type | Synced data |
Standard contact properties | email, first name, last name, phone, address, city, state, zip code, country, birthdate (Contacts only) |
Subscription status | email status (see Subscription Status and Phone Numbers) |
Custom properties (all records) |
|
Custom properties (Contacts only) |
|
Custom properties (Leads only) |
|
Important Notes:
Phone: The Mobile field is used first. If it is empty or invalid, Phone is used.
Address: Contacts use the Mailing address fields. Leads use the standard address fields.
Empty Zoho CRM fields are not sent, so they never clear existing values in Omnisend.
Zoho CRM Custom Fields
You can also sync Zoho CRM custom fields to Omnisend. In each Zoho CRM → Omnisend automation, choose them under Custom fields to sync.
The list shows the custom fields of both modules, for example Contacts: Loyalty tier; each automation uses only the fields of its own Zoho contact type.
Each selected field is added to the Omnisend contact as a custom property named
Zoho_<field API name>, for exampleZoho_Loyalty_Tier.You can select up to 25 custom fields per automation.
Values are synced as text. Multi-select values are joined with commas, and lookup fields send the linked record's name.
File, image, and subform fields are not supported.
Layouts: a custom field syncs only when it is part of the record's Zoho CRM layout. Fields that are not on the layout have no value on that record.
Clearing a value: if you clear a custom field in Zoho CRM, the Omnisend property keeps its last value. Empty values are never sent, so they never overwrite existing data.
Custom fields require a paid Zoho CRM edition. On the Free edition, the list shows only None (no custom fields).
New Omnisend Contacts to Zoho CRM
You can also sync Omnisend Contacts to Zoho CRM. The integration can sync the following data:
Omnisend field | Zoho CRM field |
first name | First Name |
last name | Last Name |
phone (first number) | Mobile |
address, city, state, zip code, country | Street, City, State, Zip Code, Country (Mailing fields for Contacts) |
email status: unsubscribed | Email Opt Out |
— | Lead Source = Omnisend (new records only) |
After a contact is created or updated in Zoho CRM, the Zoho CRM → Omnisend automations pick it up and add the Zoho CRM details to the Omnisend contact, as long as both use the same Zoho contact type.
Subscription Status and Phone Numbers
The integration never subscribes anyone without consent, and it never removes an existing opt-out.
Zoho CRM to Omnisend
Zoho CRM | Omnisend email status |
Email Opt Out is checked | Unsubscribed |
Email Opt Out is not checked | Non-subscribed |
Non-subscribed is used when consent is unknown. It never changes an existing status. A contact who is already subscribed or unsubscribed in Omnisend keeps that status.
Unchecking Email Opt Out in Zoho CRM does not resubscribe the contact in Omnisend.
Zoho CRM has no SMS consent field, so the SMS status is always Non-subscribed for contacts with a valid phone number.
Omnisend to Zoho CRM
If a new Omnisend contact is Unsubscribed from email, Email Opt Out is checked in Zoho CRM.
Any other status leaves Email Opt Out unchanged, so an existing opt-out in Zoho CRM is never cleared.
Phone Numbers
Phone numbers are synced to Omnisend only if they are in international format (E.164), for example +37061234567.
Common formatting is removed automatically:
+370 (612) 34-567becomes+37061234567.Local numbers without a country code, such as
861234567, are skipped. The rest of the contact still syncs.Country codes are never guessed or added.
How Existing Records Are Handled
Both directions match people by email address, so the integration updates existing records instead of creating duplicates.
Existing Omnisend contacts: a Zoho CRM record with the same email updates the existing Omnisend contact.
Existing Zoho CRM records: a new Omnisend contact whose email already exists in Zoho CRM updates that record. Its existing name and Lead Source are kept when Omnisend has no value for them.
Lead Source: set to Omnisend only when a new record is created. An existing record's Lead Source is never changed.
Missing last name: Zoho CRM requires a name on new records. If the Omnisend contact has no last name, the record is created with the first name only. If your Zoho CRM layout still requires Last Name, it is set to
[not provided]. This placeholder is used only for new records, never overwrites an existing name, and is never synced back to Omnisend. No duplicate loops: contacts that came from Zoho CRM carry the
Zoho_record_idproperty in Omnisend and are not sent back to Zoho CRM.
Use Zoho CRM Data in Automation Workflows
After Zoho CRM data syncs to Omnisend, you can use it to build segments, personalize messages, and trigger or refine Automation Workflows.
Welcome Automation Workflow: Welcome new contacts from Zoho CRM and personalize messages with their name, title, or company.
Lead nurture Automation Workflows: Target leads by
Zoho_lead_status,Zoho_industry, orZoho_lead_source.Owner-based messaging: Use
Zoho_owner_nameandZoho_owner_emailto sign messages from the contact's account owner.Profile-based segmentation: Segment contacts by city, country,
Zoho_contact_type, orZoho_account_name.Re-engagement: Use
Zoho_created_atorZoho_last_updated_atto find contacts that may need follow-up.
Troubleshooting
A Zoho CRM record did not appear in Omnisend.
Check that the record has an email address. Records without one are skipped.
Check that it belongs to the module selected in the automation's Zoho contact type (Contacts or Leads).
Updates can take up to 5 minutes to sync.
A Zoho CRM record synced, but without the phone number.
The number is not in international format. Add the country code in Zoho CRM, for example +370...; the contact updates on the next sync.
A Zoho CRM record failed to sync.
Omnisend rejects some values that Zoho CRM accepts:
a phone number in international format that is not a real number, for example
+1234567;a birth date in the future.
Correct the value in Zoho CRM, and the record syncs on the next update.
New Omnisend contacts are created in Zoho CRM without a Lead Source.
Your Lead Source field probably uses a restricted list of values. In Zoho CRM, go to Setup → Customization → Modules and Fields, open the Leads or Contacts layout, and add Omnisend as a value of the Lead Source field.
A Zoho CRM custom field is not showing up in Omnisend.
Check that the field is selected under Custom fields to sync in both Zoho CRM → Omnisend automations.
Check that the field is on the record's layout in Zoho CRM. Records created with a layout that does not include the field have no value for it.
Check that the field has a value. Empty fields are not synced, and clearing a field in Zoho CRM does not clear it in Omnisend.
If the list of custom fields is empty, your Zoho CRM edition may not support custom fields, or the connection may need to be reconnected to grant access to field settings.
A new Omnisend contact did not appear in Zoho CRM.
Contacts without an email address are not sent. Phone-only contacts are skipped.
Contacts that came from Zoho CRM are not sent back.
Only contacts created after the automation was enabled are sent.
I changed a contact in Omnisend, but Zoho CRM did not update.
Only new Omnisend contacts are sent to Zoho CRM. Later changes in Omnisend are not synced.
A contact unsubscribed in Omnisend, but Zoho CRM still shows them as opted in.
Omnisend sends the email status only when the contact is created. Unsubscribes after that are not sent to Zoho CRM.
