Import Klaviyo Contacts & Segments to Omnisend

Learn how to use Klaviyo Data Import Tool to import your contacts to Omnisend

Written by Ira

The Klaviyo Data Import Tool transfers your contact list and segments from Klaviyo to Omnisend, including contact information, subscription statuses, custom properties, consent records, and supported segments.

Before You Begin

Before starting, make sure you:

  • Have access to your Klaviyo account and permission to create a Private API key.

  • Have an Omnisend account with your ecommerce store connected.

  • Keep your Klaviyo account active while transferring and verifying your data.

💡 Using the Migration Dashboard?

If you selected Klaviyo during Omnisend signup, you may already have access to the Migration Dashboard, which guides you through importing your audience data or requesting expert-assisted migration.

Follow the dashboard instructions if you're using that onboarding experience. The steps below explain how to use the standalone Klaviyo Data Import Tool under Apps.

For the full migration journey, see Migrate from Klaviyo to Omnisend.

Setup Process

Step 1. Find the Tool in Omnisend

  1. In Omnisend, go to Apps.

  2. Search for Klaviyo Data Import Tool.

  3. Select Connect now.

Step 2. Create a Klaviyo Private API Key

Keep your Omnisend tab open and complete the following steps in Klaviyo:

  1. Log in to your Klaviyo account.

  2. Go to Settings → API Keys, or open Klaviyo API Keys.

  3. Select Create Private API Key.

  4. Choose Read-Only Key as the access level.

  5. Give your key a recognizable name, such as Omnisend integration, and select Create.

  6. Copy the generated API key.

💡 For additional guidance, see Klaviyo's API key documentation.

⚠️ Keep your API key secure. Your Klaviyo Private API key provides access to your Klaviyo account data. Only enter it into the official Klaviyo Data Import Tool in Omnisend.

Step 3. Connect Klaviyo and Start the Import

  1. Return to Omnisend.

  2. Paste your Klaviyo Private API key into the Klaviyo Data Import Tool.

  3. Select Connect.

  4. Select Sync contacts & segments to start importing your data.

The tool imports contacts in batches of approximately 500 every 5 seconds and processes supported segments automatically.

⚠️ Important: The Klaviyo Data Import Tool does not sync data in real time. If you continue using Klaviyo during your transition, you'll need to manually re-sync to transfer subsequent changes.

Verify Your Import Results

After selecting Sync contacts & segments, the tool displays Contact sync in progress.

Once the process finishes, the status changes to Completed, and the tool shows the latest sync information.

Contacts Import

The Contacts Import card displays:

  • Contacts last synced: Number of contacts imported in the most recent sync.

  • Contacts with tags updated: Number of contacts assigned tags from Klaviyo segments and lists.

  • Status: Completed (green) or In Progress.

  • Last updated: Timestamp of most recent sync.

All imported contacts appear immediately in Audience → Contacts with the tag klaviyo_import_app.

Segments Migration

The Segments Migration table shows the result for each Klaviyo segment:

  • Klaviyo Segment: The name of the segment in Klaviyo.

  • Status:

    • Migrated ✅ – Segment successfully synced.

    • Failed ❌ – Segment uses unsupported filters or properties that cannot be recreated in Omnisend.

  • Omnisend Segment: The name of the synced segment in Omnisend with a clickable link to open the segment.

  • Migration Date: The latest date of the segment sync.

💡 Tips:

  • Click a migrated segment name to view its contacts, edit conditions, or use it in campaigns.

  • For failed segments, follow the instructions in Migrate Other Segments Manually below.

What Data is Synced

The Klaviyo Data Import Tool syncs contacts and segments from Klaviyo to Omnisend.

Contacts

The following contact properties are imported:

  • Email address

  • Phone number

  • First name

  • Last name

  • Address

  • City

  • Country

  • klaviyo_last_active_date (custom property created in Omnisend with the value from Klaviyo)

  • All custom properties from Klaviyo with a klaviyo_ prefix (e.g., favorite_color becomes klaviyo_favorite_color in Omnisend)

  • Tag klaviyo_import_app added to all synced contacts

Subscription Statuses

Contact subscription statuses map as follows:

  1. Contacts with subscribed status in Klaviyo are imported as Email/SMS subscribers in Omnisend. The opt-in date is set to the Klaviyo timestamp.

  2. Contacts with never subscribed status in Klaviyo are imported as non-subscribers in Omnisend.

  3. Contacts with an unsubscribed or suppressed status in Klaviyo are imported as unsubscribers in Omnisend. The opt-out date is added based on the Klaviyo timestamp.

Consent Records

An email consent record is added to the contact profile in Omnisend if:

  • The consent timestamp property exists in Klaviyo, and

  • At least one of the following fields isn't empty: $consent_method, $source, $consent_form_id, $consent_form_version

An SMS consent record is added to the contact profile in Omnisend when the SMS consent timestamp exists in Klaviyo.

Segments

Segments sync when their conditions are supported by Omnisend:

  • Segment name - prefixed with [OS] in Omnisend.

  • Filters and conditions - when compatible with Omnisend's segment filters.

  • Contact count - recalculated in Omnisend based on synced contacts.

Segments using Klaviyo-specific features (e.g., predictive analytics) and other conditions that can't be recreated in Omnisend will appear as Failed in the Segments Migration table.

Migrate Other Segments Manually

If a segment fails because its conditions aren't supported in Omnisend, you have two options:

  • Recreate the segment conditions in Omnisend when equivalent filters are available.

  • Import the segment's existing contacts from Klaviyo to preserve the audience as a static group.

These options serve different purposes. Recreating conditions allows segment membership to change dynamically, while importing the existing contacts preserves the membership at the time of export.

Recreate a Segment Using Omnisend Filters

  1. In Omnisend, go to Audience → Segments.

  2. Select Create Segment.

  3. Recreate the relevant conditions using Omnisend's available filters.

  4. Save the segment and review the matching contacts.

Some Klaviyo-specific conditions may not have an equivalent in Omnisend. In that case, consider preserving the existing audience through a CSV import.

Preserve a Segment's Existing Contacts

  1. In Klaviyo, go to Lists & segments.

  2. Open the segment you want to preserve → click Manage List →  select Export to CSV.

  3. In Omnisend, go to Audience → Imports → Add or update contacts.

  4. Select Import contacts from a file.

This allows you to preserve the selected audience in Omnisend without creating duplicate contact records.

Note: This method preserves the contacts who belonged to the segment when you exported it. It does not recreate the original dynamic Klaviyo conditions.

Prioritize Your Important Segments

If some segments cannot be migrated automatically, prioritize those you use for essential campaigns and customer targeting, such as:

  1. Engaged contacts and VIP customers: Important for sender warm-up and targeted campaigns.

  2. Inactive contacts: Useful for re-engagement campaigns.

  3. Other high-value audiences: Any customer groups that are important to your marketing strategy.

💡 Tip: Use engaged contacts for sender warm-up. When you start sending emails from Omnisend, you may need to warm up your sending domain. Preserving your engaged contacts segment from Klaviyo can help you identify an audience that's more likely to open and interact with your emails during this process.

Re-Sync Contacts and Segments

The Klaviyo Data Import Tool doesn't sync contacts or segments in real-time. If you're still using Klaviyo while transitioning to Omnisend, you'll need to manually re-sync to update contact information and capture new segments.

  1. In Omnisend, go to Apps → Connected Apps.

  2. Find the Klaviyo Data Import Tool and select Edit.

  3. Select Sync contacts & segments.

The sync will run again, importing:

  • New contacts added to Klaviyo since your last sync.

  • Updated contact properties (e.g., name changes, new custom fields).

  • New or modified segments.

💡 Tip: If you're actively using both platforms, consider re-syncing daily to keep your Omnisend audience up to date during the transition.

FAQ

Why did some of my Klaviyo segments fail to migrate?
Segments may fail when they use advanced AND/OR combinations with unsupported fields, or Klaviyo-specific features (e.g., predictive analytics). You can manually recreate these segments in Omnisend using Audience → Segments → Create Segment.

Can I edit migrated segments in Omnisend?
Yes. Click the segment name in the Segments Migration table to open it in Audience → Segments, where you can view contacts, adjust conditions, or rename it.

How do I know which contacts came from Klaviyo?

All contacts imported via this tool are automatically tagged with klaviyo_import_app. You can filter by this tag in Audience → Tags.

Do segments sync in real-time?
No. Like contacts, segments only sync when you manually click Sync contacts & segments. If you're still using Klaviyo, re-sync regularly to capture new segments.
